Packaging and Returns
To facilitate a smooth return process, we request that all packaging be retained. Returns cannot be accepted without the original packaging due to the risk of damage during transit. Please note that if you dispose of the packaging, it may lead to additional restocking fees, and you will assume all risks of damage incurred during shipping.
Shipping Damage
Our coffee equipment is known for its durability and is shipped with the utmost care, often in wooden crates, to ensure maximum protection. If you observe any damage related to shipping, please report it to us via email at sales@espressomachinedepot.com within 5 days of receiving your order. Be sure to include detailed descriptions and clear photos of the damage to assist in processing your claim.
Handling Damages
In the event of shipping damage, we may either send replacement parts for your convenience or issue a return label. Before we can issue a return label, we require photos showing the unit cleaned, if applicable, and repackaged in all original packaging. Return labels will only be sent once we have received these photos to ensure proper handling.
Custom Orders & Cancellations
Given the customized nature of many of our coffee equipment offerings, orders are generally considered final once they are processed. However, we understand that circumstances may change. We review cancellation and return requests on an individual basis, and such requests may incur a 10% administrative fee based on the value of your order, with a minimum fee of $50.
Return & Exchange Process
Authorization Required: Before proceeding with any returns or exchanges, please contact us at sales@espressomachinedepot.com for a return authorization. In your email, mention your order number and the reason for your return in the subject line. Returns without prior authorization cannot be processed.
Timing: All return or exchange requests must be made within 30 calendar days from the delivery date, unless a different period is specified on the product description page. Returned items must be in their original condition, cleaned, and packaged in all original materials.
Shipping Returns: For returns, we will provide prepaid shipping labels. However, we require photos showing the product cleaned and packaged in all original packaging before we send a return label. We recommend using USPS flat-rate shipping to qualify for a refund on shipping expenses. For non-defective returns due to buyer’s remorse, all shipping costs will be deducted from the refund amount. If any items are missing or the product arrives damaged due to improper or missing packaging, we reserve the right to deduct associated costs from your refund.
Refunds
For returns involving defective items, Espresso Machine Depot will provide a full refund, including all shipping costs. Refunds are processed within 5-10 business days upon receiving the returned item and will be issued to the original payment method used during the purchase.
Damages
Espresso Machine Depot takes responsibility for damages incurred during shipping or those due to delivery of defective products. Please inspect your package upon arrival and document any damages or defects you observe. For damaged items, email us at sales@espressomachine depot.com with photographic evidence. We will manage the insurance claim and offer a replacement or refund based on your preference.
Shipping & Order Confirmation
Order Confirmation: Immediately after your order is placed, you will receive an email confirmation indicating that we have pre-authorized your payment and logged your order in our system.
Order Shipment: In-stock items are shipped within five business days from the date of the order, although 95% of orders ship within one to two days, unless otherwise noted on the product page. Once your order has been dispatched, you will receive an email with tracking information. Please note that some products may be available for pre-order (look for a red message) or may have a “contact us for availability” label on the page. These products do not fall within the standard five-day shipping window.
Product Defects, Misrepresentation, and Replacements
If you receive a product that is defective or damaged during shipping, Espresso Machine Depot will cover the return shipping costs and offer either a full refund or a replacement of equal value and quality. We can also send replacement parts when appropriate, especially if it is more convenient for the customer. For example, if the damage is minor, some customers prefer to receive parts rather than wait weeks for a return or exchange process.
